Administrative Assistant

Nature of Job:

Under general supervision of attorneys, performs complex secretarial and administrative duties, often related to a specific area of law or specialized function of the law office. May supervise, schedule and guide the activities of other firm personnel including part-time staff and interns. The principal emphasis is on providing administrative support and coordinating administrative aspects of the office. Prioritizes, anticipates and resolves administrative issues. A high level of independent judgment, initiative and problem-solving skills are required. Integrity, follow through and confidentiality are important personal characteristics.

Examples of Work

  • Handle payroll duties twice monthly
  • Handle accounts receivable and checks coming in on a daily basis
  • Handle accounts payable and help manage cash flow
  • Manage administrative and personnel filing systems
  • Coordinate attorneys' calendars and confirm appointments
  • Manage flow of work into/out of attorneys' offices
  • Act as primary liaison with external contacts including service, telephone and tech providers
  • Produce annual review letters for sending to Clients
  • Produce billing invoices for sending to Clients
  • Track centers of influence
  • Perform other related duties as assigned

Education, Experience, and Abilities

Requires a minimum of a high school diploma or GED. Previous administrative experience a plus. Requires extensive knowledge of office practices and procedures; ability to handle multiple assignments concurrently; knowledge of the principles and practices of office management; ability to analyze and interpret data, make independent decisions, plan, assign, review and evaluate the work of other personnel; demonstrate ability to use advanced techniques in word processing, spreadsheet, database and presentation software; and the ability to communicate effectively and interact well with people of all ages and diverse backgrounds.

Special Requirements

May need to take typing and/or transcription test. Experience with TimeSlips, Intuit (QuickBooks & Quicken), Microsoft, and Corel programs a plus.
